Before Results Day

Here’s a helpful list of things to do to prepare you for student results.

Check you can access Centre Services

Centre Services is one of the ways you can see results from restricted release day. It’s the only place you can access our results e-documents, and any late changes or amendments to results on results day.

Make sure that teachers can register for Enhanced Results Analysis (ERA)

This is part of Centre Services which lets you review and analyse the performance of your students, subjects and school. Remember, Centre Services is a secure website. You must not share your password or account details with anyone. Failure to comply will result in loss of access.

You can give teachers who have registered with Centre Services access to ERA by following these steps:

  • Log in to Centre Services
  • Click ‘Manage user roles’ (if you have multiple centres you will need to select the correct one first)
  • Locate the user
  • Click ‘edit’ against user
  • Click the dropdown menu titled ‘Roles’, then select ‘Centre Results Read’
  • Click ‘save’

You must not share your password or account details with anyone. Failure to comply will result in loss of access.

Check you can receive results via EDI (A2C)

Check you’ve got the latest version of Avco’s migration application installed. Avco’s FAQ page has more help.

Final entry checks

Make sure you have checked all your entries before results day. Please refer to Check, change and withdraw entries.

If any student requires adjustments to be made for them to take the exam, make sure you have completed any necessary actions in accordance with our special requirements guidance.

What’s available when

You can find our restricted results days (For Exams Officer and Head of Centre only) and Results days (for students) on our Key Dates Calendar.

Restricted Results Days

This is the day before students receive their results. From 12.01am, only exams office staff and Heads of Centre can see results on these systems:

  • Electronic Data Interchange (EDI) and A2C (make sure you click ‘Send/Receive’ to force A2C to check for files)
  • As ‘e-documents’ on Centre Services, our secure extranet.

If a Head of Centre or any other senior member of teaching staff requires early access to results, the centre admin can give them access by following these steps:

  • Log in to Centre Services
  • Click ‘Manage user roles’ (if you have multiple centres you will need to select the correct one first)
  • Locate the user
  • Click ‘edit’ against user
  • Click the dropdown menu titled ‘Roles’, then select ‘Centre Results Early Read’
  • Click ‘save’

Please allow up to 30 minutes for the user to gain access

Results are confidential during restricted release. You must not share them more widely

Request for early dispatch of certificates

For the May/June exam series, certificates will be dispatched by mid-November.

If required, you can request that your certificates are sent earlier, from mid-September. We will make every effort to meet your request, but please be aware that we cannot guarantee to do so.

On Results Day
Results slips

On student results day, students receive a printed results slip from you (also known as a candidate statement of provisional results).

The results slip shows provisional results. This is so that there’s time for enquiries about results (eg reviews), late award claims and any results that are still pending.

Universities within the UK are aware of this system and are automatically informed of any grade changes through UCAS, the UK admissions service for higher education. If a student is applying to a university outside the UK, they would need to complete the application form below so that the results can be shared with them.

Sharing results with a university outside the UK

If students are applying to a university outside the UK and would like to confirm their results with that institution before they receive their certificate, they can request a provisional results confirmation to be sent to any university in the world. The charge for this is £20GBP, to cover the delivery cost of sending the confirmation document to the relevant university.

Students need to complete the application form themselves; this cannot be done a by teacher or exam officer. Please save a copy of the application form to your machine or device before filling it in.

Missing results

Information for Exams Officers on what to do about missing or incomplete results.

If you’re a student, we can’t give you your results directly or discuss individual results with you. Please talk to your school instead as they are best placed to advise you.

There are two possible symbols you might see if you have any missing or incomplete results:

  • No result (X) indicates a result is not being issued because the student was absent for all parts of the exam, or because of a decision not to issue a result for another reason.
  • Pending (Q) indicates that no result has been issued as the marks for one or more components of the exam are not available.

If you receive any missing or incomplete results for one or more of your students, You will need to

– copy and paste the table provided in the missing results form into an email and fill it out. Please do not attach the word document to the email.

– send your email to [email protected] with the subject line ‘Processing query’. Attach a copy of the seating plan and attendance list, as this will help us to process the query as quickly as we can.

We’ll resolve the issue and let you know the outcome.

We’ll deal with results day enquiries as quickly as possible. We prioritise issues where a university place depends on the outcome.

Standards

Awarding, which is setting the standard for an exam by determining the grade boundaries for each paper, is a crucial part of the exam process.

By grade boundary we mean the minimum mark you need to get a certain grade: for example, you might need a mark of at least 114 out of 180 for a grade C in a certain International GCSE subject.

A detailed explanation of standard setting, intended for teachers and those with a reasonable understanding of the exam system and the terminology used, is also available in this guide.

Grade boundaries

Grade boundaries show the minimum number of marks you need for each grade, and are published on results day.

Once all exam papers have been marked, grade boundaries are set by senior associates and assessment experts. It’s not until after all the marking has been completed that it’s possible to see how difficult students found the paper (for example, compared to previous years) and so take this into account when setting the boundaries. This means that a student who performed at a certain level should get the same grade regardless of which year they sat the exam.

Results statistics

Results statistics show the overall student performance in our exams by specification and grade.

These statistics are published at the same time student results are issued, so they do not take into account any enquiries about results.

Uniform Mark Scale (UMS)

International AS and A-levels, consist of a number of units which students can take in different sittings. The difficulty of the papers may vary slightly from one sitting to another. For example, a mark of 45 in January 2022 could represent the same level of achievement as a mark of 48 in the same module in summer 2022. Therefore these marks must be put on a common scale so that both 45 (from January) and 48 (from the summer) have the same value when contributing to an overall grade.

This is done by converting the initial marks to a scale called the Uniform Mark Scale (UMS) which gives equal value to work at the same level of performance, regardless of any variation in the difficulty of the papers. The UMS is a nationally agreed scale used by all exam boards and has fixed grade boundaries. The overall grade for the qualification is obtained by adding together the UMS scores for the modules.

After results day

You can still amend a student’s entry to allow them to receive an award, even after results day. Use our handy flowchart to confirm which application should be submitted, or read more below:

Requests for late subject awards can be made up to 4 weeks after the publication of results in the following series:

  • January exams series
  • May/June exams series
  • For Modular AS and A-level qualifications there are no additional fees for claiming late awards up to 4 weeks after the publication of the results in each series.
  • Requests for late awards received later than the 4 week period after published results or for a historical series, a very late award fee will be charged per student per subject award entry as detailed in the ‘Entry fees and other charges’ booklet available on our website
  • Where students have taken units at a different school, please supply the previous centre

number in the space provided next to the student’s name.

Certificates

We send certificates to schools approximately eight weeks after results day, showing final, confirmed results.

Exam series

When you will receive certificates by:

November End of February
January End of May
May/June End of November

Check that you have received all the expected certificates. Give them to students without delay (using secure post if sending by mail), and keep a record of what has been issued. Any unclaimed certificates must be stored securely for at least 12 months, then either destroyed confidentially or sent back to us.
